Privacy Policy
How Rater-X collects, processes, retains and protects personal data across our website, project enquiries and the Talent Network.
RATERX TECHNOLOGIES LIMITED ("Rater-X", "we", "us" or "our") respects your privacy and is committed to handling personal information responsibly. This Privacy Policy explains what personal information we collect, why we use it, how it is handled, how long we retain it, and the choices and rights available to you.
1. Who we are and how to contact us
RATERX TECHNOLOGIES LIMITED is a company incorporated in Nigeria, with its business location in Lagos, Nigeria. We act as the data controller for the personal information described in this policy.
Please use this email address for privacy questions, requests concerning your information or complaints.
2. Scope of this policy
This policy applies when you:
- visit our website;
- submit a Project Enquiry;
- join or update your information in the Rater-X Talent Network; or
- communicate with us in connection with these activities.
It addresses our website and preliminary business and Talent Network interactions. If you subsequently become a client, employee or contractor, additional agreements or privacy notices may explain the processing associated with that relationship. Personal information handled on behalf of a client during a separate evaluation project is governed by the applicable project arrangements and data-processing terms.
3. Personal information we collect
Project Enquiries
We collect the information you provide through the Project Enquiry form, including:
- your name, work email address, company and role;
- the type of AI product or system involved;
- your evaluation challenge;
- your preferred timeline; and
- expected evaluation volume and other information you choose to provide.
We also retain relevant correspondence arising from your enquiry.
Talent Network
We collect:
- your full name, email address, country and city or region;
- your CV or resume, including the professional, educational and contact information it contains;
- a LinkedIn, portfolio or other professional-profile link, if provided;
- the languages you can work in;
- your areas of interest and relevant experience;
- your general availability;
- your response, if provided, about willingness to undertake future project-specific assessments or training;
- confirmation that you are at least 18 years old; and
- your acknowledgement and privacy-consent responses.
The form accepts CVs or resumes in PDF or DOCX format, with a maximum file size of 3 MB.
Our submission record also includes the submission timestamp, the Privacy Policy version recorded at submission, your IP address and browser or user-agent information. These details accompany the form responses in the email record received by Rater-X.
If you later update your information or discuss an opportunity with us, we may retain those updates and relevant correspondence.
Direct communications
When you email us, we collect your contact details, the contents of your message, any attachments and the information needed to respond.
Website operation and security
Our hosting and security providers may process technical information such as your IP address, browser information, request timestamps, requested pages or resources, and diagnostic or security events. This processing supports delivery, availability, troubleshooting and protection of the website.
Information to avoid submitting
Please limit submissions to information relevant to your enquiry or Talent Network participation. Do not include identity-document copies, bank or payment details, passwords, confidential client materials, or sensitive information such as health records, religious beliefs or political opinions unless we separately request it for a specific lawful purpose.
If your documents contain information about another person, share only what you are entitled to disclose.
4. Where information comes from
Most information comes directly from you through our forms, uploaded CVs, emails and subsequent correspondence. Technical information is generated when your browser interacts with our website and its supporting services.
Where you provide a professional-profile or portfolio link, we may review the professional information you have made available through that link when assessing your experience or suitability.
5. Why we use information and our legal bases
We process personal information under the Nigeria Data Protection Act 2023 and other data-protection laws where applicable.
| Purpose | Legal basis |
|---|---|
| Responding to Project Enquiries and managing business correspondence | Our legitimate interests in handling genuine business enquiries; steps taken at your request before entering a contract where applicable |
| Managing your Talent Network information, assessing suitability and contacting you about relevant opportunities | Your consent |
| Maintaining records of form submission and the choices expressed | Our legitimate interests in documenting submissions and demonstrating how information was obtained, together with applicable accountability obligations |
| Operating, protecting and troubleshooting the website | Our legitimate interests in providing a secure and functioning website |
| Responding to privacy requests and meeting applicable legal requirements | Compliance with legal obligations |
| Establishing, exercising or defending legal claims | Our legitimate interests or applicable legal obligations, depending on the circumstances |
Where we rely on legitimate interests, we consider the purpose and necessity of the processing and its effect on your rights and reasonable expectations. We do not use Talent Network consent as permission to send unrelated marketing messages. We do not sell personal information or use it for behavioural advertising.
6. Providing information and giving consent
Fields marked as required are necessary to process the relevant form. If you do not provide them, we may be unable to accept your submission or respond meaningfully to your request. Optional fields may be left blank.
Talent Network participation is voluntary. The form requires separate age confirmation, acknowledgement and privacy-consent responses. Joining the Talent Network does not guarantee training, certification, employment or project placement.
If you are considered for a specific project, we may request additional information, an assessment, project-specific training, a confidentiality agreement or other screening relevant to that opportunity. Any additional collection will be explained when necessary.
You may withdraw your Talent Network consent at any time by emailing info@raterx.ai. We will then stop using your information for future-opportunity matching and contact, and handle deletion as described below. Withdrawal does not affect processing lawfully carried out before withdrawal.
7. How submissions and CVs are handled
Our website uses native forms.
Project Enquiries are processed through our website's server endpoint and sent through Resend to our business email.
Talent Network submissions and CVs are processed in server memory and forwarded through Resend as an email with an attachment to info@raterx.ai. The application does not save uploaded CVs to its server filesystem or a separate file-storage bucket. It does not maintain a separate website database or content-management system containing form submissions.
This does not mean that submissions are never stored. Resend temporarily retains message content, attachments and delivery records. Delivered submissions and CVs are retained in our business mailbox hosted by Zoho Mail. The submission email contains the applicant's responses and associated submission and consent records.
8. Who receives personal information
Authorised personnel
Access to received submissions is restricted to authorised Rater-X personnel who need the information for the purposes described in this policy.
Service providers
We use the following services:
| Provider | Role |
|---|---|
| Netlify | Website hosting and server-side processing of form submissions |
| Cloudflare | Network delivery, routing and website security |
| Resend | Email delivery of submissions and CV attachments, with temporary retention of message content and delivery records |
| Zoho Mail | Hosting of the business mailbox in which delivered submissions, correspondence and CVs are retained |
Providers may use supporting subprocessors in accordance with their applicable service and data-processing arrangements. Where a provider processes information on our behalf, the relevant contractual terms govern that processing. Providers may also process limited information for their own legal, security or service-administration responsibilities under their own notices.
Legal disclosures
We may disclose information where necessary to comply with a legal obligation, respond to a valid legal request or establish, exercise or defend legal rights.
9. International processing and safeguards
Our providers operate internationally. Personal information may therefore be processed outside Nigeria and outside your country of residence, including in the United States.
Resend processes customer data in the United States. Netlify and Cloudflare operate international infrastructure. Zoho processing locations depend on its account allocation and service-delivery arrangements, including authorised support access.
Data-protection laws in another country may differ from those in your country. Applicable provider arrangements include contractual restrictions on processing, confidentiality and security obligations, controls over subprocessors and provisions addressing international transfers. Standard contractual clauses or other recognised transfer mechanisms apply where relevant to the transfer and the governing law.
For transfers governed by Nigerian law, the applicable standard is the protection required under the Nigeria Data Protection Act 2023. The availability of a transfer mechanism under another jurisdiction's law does not, by itself, establish that every Nigerian requirement has been met.
We are responsible for ensuring that transfers we make or authorise have an appropriate legal basis and protection. You may contact us for information about the safeguards applicable to your information, including relevant contractual protections, subject to appropriate redaction of confidential information.
10. Retention and deletion
We retain personal information for the periods below, taking account of its purpose and applicable legal obligations.
Project Enquiries
We generally retain Project Enquiry information for up to 12 months from submission. If an enquiry develops into a client relationship, relevant records may instead be retained under the arrangements applicable to that relationship, including contractual and legal recordkeeping requirements.
Talent Network
We retain Talent Network information for up to 18 months from your most recent submission, update or meaningful interaction, unless a longer period is required by law.
A meaningful interaction is a substantive communication from you about your continued participation or a relevant opportunity — for example, confirming your availability or responding to a project discussion. An unanswered message from us, an internal review of your record or a website visit does not by itself restart the retention period.
You may withdraw consent or request deletion before the period expires. When the information is no longer needed for Talent Network purposes, we remove it from active Talent Network use and delete the associated records, unless retention is required by law. If you enter a separate working relationship with Rater-X, the records necessary for that relationship will be handled under the applicable arrangements.
Submission and consent records
Records held with a submission follow the applicable retention period above. If a particular record must be retained to meet a legal obligation, its use will be limited to that obligation rather than continued Talent Network matching.
Provider retention
Resend: Under our current service arrangements, email content, CV attachments and associated delivery records are retained for 30 days.
Zoho Mail: We delete relevant emails and attachments from the mailbox and Trash when deletion is due. Zoho's standard service retains emails deleted from Trash on its servers for a further 30-day recovery period. Removal from our active mailbox therefore does not mean immediate removal of every provider-held copy.
Hosting and security records: Technical records are governed by the relevant providers' operational retention arrangements. Rater-X has not enabled optional Cloudflare raw HTTP request-log retention.
A provider may retain limited information for longer where required by law.
Other correspondence
Correspondence relating to an enquiry or Talent Network record follows that record's applicable retention arrangements. Other communications are retained for as long as necessary to resolve the matter and meet relevant legal requirements.
11. Your privacy rights
Subject to applicable law, you may have the right to:
- obtain confirmation of processing and access your personal information;
- correct inaccurate or incomplete information;
- request deletion;
- restrict or object to processing;
- receive or transfer information in a portable format;
- withdraw consent; and
- challenge qualifying decisions based solely on automated processing.
To make a request, email info@raterx.ai. Explain the request and, where helpful, identify the email address used for your submission. We may ask for proportionate information to verify your identity. We will respond without undue delay and within the period required by applicable law. Where an exception applies, we will explain our response.
You may complain to the Nigeria Data Protection Commission or another competent supervisory authority. You do not have to contact us before exercising that right, although we welcome the opportunity to address your concern.
12. Automated processing
The website automatically validates required fields, file formats, file sizes and checkbox responses. These checks determine whether a submission can be accepted technically; they do not assess your professional suitability.
The Talent Network submission process described in this policy does not automatically score or select applicants. Submissions are delivered to our team for consideration.
If materially different processing is introduced, including automated decision-making requiring additional notice or safeguards, we will provide the relevant information before using it.
13. Cookies, local storage and external services
Our website currently sets no cookies and does not use session storage, advertising pixels or website analytics tools.
It uses one local-storage preference, raterx-theme, to remember your choice of light, dark or system theme. This preference is not an advertising identifier and is not used to track you across websites. You can remove it through your browser's site-data settings. Your theme preference may then reset.
Website fonts are served from our own site. Your browser does not need to contact Google Fonts to load them.
Links to external services, including Calendly and LinkedIn, take you to services governed by their own privacy notices. Calendly is linked externally rather than embedded on the website.
14. Security
We use measures designed to protect personal information against unauthorised access, disclosure, alteration and loss. These include encrypted transmission, restricted mailbox access and server-side validation of submissions and uploaded files.
No internet transmission or storage system can be guaranteed completely secure. Where a personal data breach occurs, we will assess it and make any notifications required by applicable law.
15. Age requirement
The Talent Network is intended for individuals aged 18 or older. Applicants must confirm that they meet this requirement.
We do not knowingly accept Talent Network registrations from individuals under 18. If you believe such information has been submitted, contact us so we can investigate and take appropriate action.
16. Changes to this policy
We may update this policy to reflect changes in our services, processing practices or legal requirements. The current version will be published on our website with its last-updated date.
Where a change requires further notice or renewed consent, we will provide that notice or seek that consent before carrying out the relevant processing.
